Parish Administrator part-time

St Marys and St Peters are vibrant, active parishes situated in Great Yarmouth and Gorleston. We are looking for an enthusiastic, motivated, hardworking individual to assist with the smooth running of the parish offices. Candidates should have recent administration experience as well as good typing and IT skills. Experience of Microsoft Office, including Word and Excel, is essential. Applicants should also be supportive of our Catholic beliefs.

The post includes but is not limited to:
• Production of the parish newsletter
• Accounting tasks
• Office administration tasks
• Answering telephone calls

Hours to be discussed at interview. A degree of flexibility is required from applicants; a willingness to take on extra hours during busy periods would be expected.
Diplomacy and confidence in dealing with members of the public and our parish communities will be required and a sense of humour will help.

The successful candidate will be required to undertake an enhanced DBS check.

Parish Administrator – St Mary’s Church & St Peter’s

Administrator Duties
Prepares the weekly newsletter for the parishes, and various other booklets as required for special Mass, e.g Easter, First Holy Communion.
Records bookings and updates records for baptisms, weddings and funerals. Liaising with relevant parties concerned.

Prepares session dates and programmes for First Holy Communion and Confirmation. Updates registers and prepares certificates.
Books Mass intentions and Foundations Mass.

Complete Foundation Mass records for Diocese for annual stipend payments.
Diplomacy and confidence in dealing with correspondence, telephone queries and with members of the public and our parish communities will be required.
Experience with Microsoft office program is essential.

Financial responsibilities
Records all collections and donations and make payment to Diocese or other organisations.
Review cash sheets and make sure they agree to bank receipts.
Paying in cash at bank.

Updates income ledger re. chaplaincy fees etc. Document allocations to St Peters and make necessary transfers once income has been received.
Updates purchase ledger and mileage receipts and makes payments accordingly.
Renews annual safety tests and subscriptions.

Orders liturgical supplies and maintains stock (currently St Mary’s orders for both Parishes and recharges St Peters – as they are separating the Parishes, it will be easier if each Parish make their own orders and payments).
General filing and keep office clean and tidy.
